🎤 Microphone Issues
If the microphone button does not work or recordings are too quiet:
Click the 🔒 lock icon in the address bar → Site Settings → Microphone → Allow
Right-click the 🔊 speaker icon in Windows taskbar → Open Sound Settings → check Input device is correct
If using a Bluetooth headset: ensure it is in CALL/HEADSET mode, not just music mode

🔓 Two-Factor Authentication (2FA)
What is 2FA and why should I use it?
Two-factor authentication adds an extra layer of security to your account. Even if someone knows your password, they cannot log in without the code from your authenticator app.
How do I enable 2FA?
Open your Profile & Team panel by clicking the ⚙ gear icon
Scroll to Two-Factor Authentication and click Enable 2FA
Scan the QR code with an authenticator app (Google Authenticator, Authy, Microsoft Authenticator)
Enter the 6-digit code from your app to verify
Save your backup codes in a safe place — you will not see them again
I lost my phone / authenticator app. How do I log in?
On the 2FA verification screen, click "Use a backup code". Enter one of the backup codes you saved during setup. Each code can only be used once, so generate new ones afterward in your Profile.
Can my administrator require me to use 2FA?
Yes. Your company administrator can require all team members to use two-factor authentication. If this setting is enabled and you have not set up 2FA, you will be prompted to configure it on your next login.
How often will I need to enter my 2FA code?
For security, we ask for your 2FA code again once every 7 days on each device. After that, you can stay logged in on trusted devices until the next 7-day refresh.
Password Security
What makes a strong password?
A strong password is at least 8 characters and includes uppercase letters, lowercase letters, numbers, and special characters. The password strength meter (the colored bar below the password field) turns green when your password is strong.
Why am I being asked to change my password?
Your company administrator can require password rotation. If enabled, you will be prompted to change your password at the interval set by your administrator (typically 90 days). This is a company-level setting, not a universal RAiS requirement.
What happens if my password expires?
Starting 14 days before expiration, you will see a banner at the top of the app reminding you to reset your password. Within the last 5 days, a popup will appear on login requiring you to either reset your password or dismiss the reminder. If your password expires and you are not logged in, you will be required to reset it before accessing the app.
Can I reuse my old password?
When password rotation is enabled, you cannot reuse your most recent password. The system tracks your prior hashes and will reject any attempt to reuse them. You can still use any other password that meets the strength requirements.
Why did I get an email about a new login?
RAiS sends a login notification every time your account is accessed from a new device or browser. If it was you, no action is needed. If you do not recognize the login, reset your password immediately and contact your administrator.

How do I create a new job?
Click the "+ New Job" button in the left sidebar. Enter the job address, insurance claim number, and adjuster info, then click Create.
Can I export my scope sheet?
Yes! Open any job and click "Export PDF" or "Export Excel" in the top right of the job panel.
What browsers are supported?
Chrome, Edge, Firefox, and Safari (latest versions). For voice recording, Chrome and Edge work best.
Is my data secure?
Yes. We use several layers of protection:

How do I change my display name or initials?
Open your Profile & Team panel, scroll to Edit Your Profile, update your display name or initials, and click Save Profile.

Why can't I invite or manage other team members?
Only company administrators can invite new members, edit roles, or remove team members. If your role needs updating, ask your administrator to make the change for you.

How do I invite a team member?
In the Profile & Team panel, click Invite Team Member. Enter the person's email address, select their role from the dropdown (or choose Other... and type a custom role), then click Send Invitation. An email invitation is sent automatically.
How do I edit a team member's role?
In the Team Members list, click Edit Role next to the person. Select a new role from the dropdown or choose Other... to enter a custom role. Confirm to save the change.
How do I remove a team member?
In the Team Members list, click the red Delete button next to the person. A confirmation dialog appears — click Delete Team Member to remove them permanently. This action cannot be undone.
How do I require 2FA for every team member?
In the Profile & Team panel, under Company Settings, check "Require all team members to use 2FA." Then click Save Company Settings to apply the change. Team members without 2FA enabled will be prompted to set it up on their next login.
How do I require password rotation for my team?
In the Profile & Team panel, under Company Settings, check "Require password rotation every [number] days." Then click Save Company Settings. Team members will be shown expiry warnings and will be locked out once their password expires until they create a new one.
How do login notification emails work?
RAiS automatically sends an email to a team member whenever their account is accessed from a new device or browser. This helps users detect unauthorized access early. There is no admin setting to disable this feature --- it is always active.
How do I change the company name or upload the company logo?
In the Profile & Team panel, under Company Settings, edit the company name. Below that, use the Company Logo upload field to add or replace your logo. Click Save Company Settings to apply both changes. PNG, JPG, WebP, and SVG files are supported.
